A deadline on a dashboard can be wrong because the source document was read incorrectly, a spreadsheet used a different date format, or a new document arrived without the record being updated. The fix is more than changing a number: the office needs to know which source now supports it.
Trace the date back to its document
Open the employee, truck, insurance, or maintenance record and identify the field that created the reminder. Find the latest relevant document. Confirm it belongs to the same person, vehicle, or policy and read the date in context. If the document is missing or ambiguous, leave the issue open for the authorized reviewer instead of guessing.
Correct the record and explain the change
Attach the reviewed document to the correct record when appropriate. Enter the date the source actually supports and add a short office note if the reason for correction will not otherwise be clear. Reopen the saved record and the calendar to check the result. If another record copied the same wrong date, review that record separately rather than applying a blanket change.
Check the work that depended on it
If someone was already following up, tell them the date changed and why. A corrected dashboard item does not settle any underlying eligibility, contract, or legal question. The responsible reviewer still decides what the source and applicable requirements mean for the operation.
Use the weekly paperwork review to catch these mismatches routinely. The towing compliance software page describes how TowAdmin surfaces the dates your team enters and links back to the records behind them.
