Before importing towing company records, check these five things

A small-batch approach to checking employee and truck spreadsheets before they become the dates and identities your team relies on.

Importing a spreadsheet saves retyping, but it also moves old mistakes faster. The safest first import is a small set of records that someone can compare with current source information. An import preview shows what the software proposes to save; it does not verify that the spreadsheet itself is correct.

Check identity and structure

First, confirm that each row describes one employee or one truck. Look for duplicate people with different name spellings, reused unit numbers, missing VINs, and date columns whose meaning is unclear. If a column called “renewal” could mean requested, issued, or expiration date, settle that question before importing it.

Review a small sample in the preview

Choose a handful of representative rows, including one with a missing field and one with an approaching date. Compare the preview with the source document and the spreadsheet. Are dates interpreted in the right month/day order? Does each field land on the intended record? Are inactive employees or sold trucks marked appropriately? Correct the source file and preview again when something is wrong.

Save, then verify in the actual workspace

After saving a checked batch, open several resulting profiles. Confirm names, unit identities, and dates. Attach the current documents separately where needed; spreadsheet fields are not supporting evidence. Then review the attention list to see whether the imported dates create reasonable follow-ups.

TowAdmin supports previewing employee and truck spreadsheet imports for authorized companies with that feature enabled. Start with the driver credential workspace and fleet document workspace to decide what belongs in each record. Keep the original source file under your company's retention process so you can explain where the information came from.
