THE TOWADMIN FIELD GUIDE

Build a truck file your team can actually find.

A tidy folder helps only if it contains the right truck’s current information. Start with a consistent vehicle identity, give each document a recognizable name, and record the next review date separately.

Office workflow · Published October 13, 2026

1. Establish one identity for the truck

Use a stable company unit number, then record the VIN, plate, year, make, model, yard, and ownership or lease context as appropriate. Do not rely on a nickname when two vehicles look alike. Check the VIN on each incoming document against the vehicle record.

When a truck moves yards or changes assignment, update its operational context without losing the stable unit identity.

2. Organize documents by purpose

  • Registration: the applicable vehicle registration document and the date your office has verified.
  • Inspection: the relevant inspection report, inspection date, identified follow-up items, and any next review date.
  • Insurance: the evidence and policy information your business needs for the vehicle and applicable contracts.
  • Maintenance: service descriptions, dates, supporting records, and planned follow-up.
  • Contract-specific evidence: documents a particular police agency or customer requires, checked against that actual agreement.

This list is a filing structure. It is not a statement that every item or the same inspection schedule applies to every tow truck.

3. Use a filename that answers a question

For example, Unit12_Registration_2026-10-13.pdf tells an office who the file belongs to, what it is, and a reference date. Define whether that date means issue, expiration, or upload date. A filename alone should not be the source for an expiration field.

Keep the source document readable. If a scan is cropped, blurred, or missing a page, request a complete version rather than treating an attached filename as proof that the record is ready.

4. Review the date and the file together

Check the attention list on a regular schedule. Open the truck record and its source file, confirm the next action, and assign follow-up. When renewed evidence arrives, verify it, attach it, and update the relevant date. Reopen the saved record to check the result.

For applicable federal vehicle maintenance record requirements, consult FMCSA’s inspection, repair, and maintenance records guidance. Check your own applicability, contract terms, and retention obligations with the appropriate reviewer.

Putting the routine into TowAdmin

Use the truck profile for vehicle identity and primary and secondary deadline fields. Attach source files to the vehicle and use the Insurance and Maintenance sections for supporting records. Review the company calendar for the dates you entered.

For a larger starting inventory, preview an available truck spreadsheet import, check the proposed records, and then attach the actual source files. A successful import organizes your entries; it does not independently verify the documents.
