THE TOWADMIN FIELD GUIDE

A driver credential renewal routine your office can repeat.

The useful renewal question is not just “When does it expire?” It is “Who is following up, where is the evidence, and has the saved record been checked?” This routine helps an office close that loop.

Office workflow · Published October 13, 2026

1. Build a reliable starting record

Confirm the employee name and contact details. Review the source credential rather than reusing a date from an old spreadsheet. Record the credential type, identifying details your company is permitted to hold, the expiration date shown on the document, and any limitation that the responsible reviewer needs to assess.

Keep license, medical status, and training or certification dates distinct. A current license does not establish that every other required credential is current.

2. Review upcoming dates on a regular schedule

Choose a named person to check the list each week. Sort expired items ahead of coming-due items. For an overdue or unclear credential, route the issue to the person authorized to decide the employee’s work eligibility; the tracking tool does not make that decision.

  • Confirm the recorded date matches the latest source.
  • Confirm who is responsible for following up.
  • Record what is needed next and when the office will check again.
  • Keep a requested renewal separate from a completed renewal.

3. Receive and review the updated evidence

Ask for the updated credential or the evidence applicable to the driver and jurisdiction. Check identity, legibility, the new date, and any relevant restrictions before replacing an old value. Do not assume a photo of an appointment or a payment receipt establishes a completed renewal.

Federal driver medical-certification procedures can differ for CDL and non-CDL drivers and can change. Check the current FMCSA medical-certification guidance and your state licensing agency when establishing the evidence your operation needs.

4. Close the loop in the workspace

Attach the reviewed evidence to the correct employee, update the appropriate date, and record a short note describing the office review. Reopen the saved profile to check that the date and document agree. Check the upcoming list again so another credential has not been overlooked.

Use a filename such as EmployeeName_CredentialType_YYYY-MM-DD.pdf, with the date meaning documented by your office. Follow your company’s retention policy when keeping previous versions.

What this checklist does—and does not—cover

This is a renewal-tracking routine, not a complete driver qualification file checklist or a determination of regulatory compliance. For applicable federal driver-file requirements, use the FMCSA driver qualification file guidance together with the rules and exceptions that apply to your operation.

TowAdmin provides employee fields, attachments, recorded deadlines, and a calendar to support this office process. The responsible reviewer still verifies the source and the applicable requirements.
