1. Review the recorded dates
Start with the dates your company entered for employees, trucks, insurance, and maintenance. Look at expired items first, then upcoming dates. Open the actual record before assigning a follow-up. If the date was copied from an old list, compare it with the current document rather than assuming it is still correct.
Mark an unclear date for review. The dashboard is an attention tool, not a statement that a driver, truck, or contract is legally compliant.
2. Check driver and truck evidence
- Driver: confirm identity, the specific credential, the recorded expiration, and the latest legible supporting file.
- Truck: confirm unit number and VIN, then check registration, inspection, and other documents that apply to that vehicle.
- Renewal: separate a requested document from a received and reviewed document. Update the date only after the right reviewer checks the source.
Use the driver renewal checklist and truck paperwork checklist for deeper routines.
3. Review police contract records
For each active police project, look at the actual agreement and the requirements your team recorded. Identify missing supporting files, open tasks, and the next person responsible for following up. Keep a note of a call or request with the project so the office can find it later.
Contract terms differ by agency and can change. The project record helps organize what your team entered; it does not confirm rotation eligibility or replace a review of the signed agreement.
4. Give impound cases a clear handoff
When a vehicle needs title paperwork, confirm the VIN and intake facts against the vehicle and tow record. Gather the supporting files, recorded parties, notices, dates, and expenses in the case. Write down the next missing item for the office or yard.
Use the impound case intake checklist for a fuller handoff. The applicable title and notice process must be verified for the facts and jurisdiction; a software checklist does not make that legal determination.
5. Reopen the saved record
After a document arrives or a date changes, reopen the saved employee, truck, contract, or case record. Check that the right file is attached, the date matches the source, and the next action is understandable to another team member. Repeat the review on a schedule that fits your operation.
